Protection of Student Rights and Privacy

You may distribute these notices in various ways, including as part of your school’s handbook, backpacking them home, posting them on school bulletin boards, and/or displaying them on your school’s website.
Student Privacy Reminders: As in previous years, under federal and state law, as well as Chancellor’s Regulation A-820, students’ personally identifiable information (PII) must be properly safeguarded. Please note and share these policy reminders with your staff: 
  • PII may not be shared with third-party vendors that are not approved in the Enterprise Request Management Application (ERMA). For more information, please review the Data Privacy and Security Compliance Process.
  • PII may only be shared with other school officials who need to access the information to perform their job responsibilities.
  • Do not disclose PII to union representatives. Union representatives are not considered school officials and generally cannot be copied on emails containing PII.
  • Check who is copied on emails containing PII before sending to ensure no unintended recipients receive the message.
  • Encrypt emails to external parties that contain PII.
  • Before sharing records such as incident (OORS) reports with families, be sure to redact any PII pertaining to other students.   
  • Student helpers and community volunteers must not receive or have access to PII, including names and phone numbers, as part of their responsibilities.
